Terms & Conditions
This Agreement governs participation in Peace Diplomats Conferences (“Events”) hosted by Peace Diplomats LLC New York and Future Diplomatic Events (collectively “Peace Diplomats”). Website information is for general audiences and may not apply to all regions. Peace Diplomats strives for accuracy but may change content at any time.
1-Participants must be at least 17 years old at the time of registration.
2-Complete the online registration at https://peacediplomats.org/register with accurate personal details as they will appear at the conference. (Note: Double-check this URL if Peace Diplomats uses a different registration platform.)
3-Participants are responsible for the accuracy of their registration information, including dietary needs and accessibility requirements. Peace Diplomats is not liable for errors in submitted information.
4-Peace Diplomats is not responsible for actions by governments or public authorities, including denial of entry or attendance clearance.
5-Participants are responsible for their safety and security in the host city. Peace Diplomats is not liable for loss, damage, or injury to delegates or their property, except for losses directly caused by Peace Diplomats’ gross negligence or willful misconduct.
6-All participants, whether registering individually or as part of a delegation, must comply with published registration deadlines.
Registration Details for Peace Diplomats Conferences
Peace Diplomats registrations are exclusively managed through our official website. When registering, delegates must provide all requested information, including their council and country preferences as indicated on the registration form.
Applications are evaluated based on:
Council capacity limits
Country availability within each council
Peace Diplomats offers several package options: Non-Accommodation, Accommodation, and Full Experience.
Registration occurs in three phases:
Early Bird Registration
Regular Registration
Late Registration
Each phase offers different pricing for each package. Registration deadlines are strictly enforced; no extensions will be granted. Any changes to deadlines will be announced on Peace Diplomats’ social media channels.

Peace Diplomats Simulation Entity Allocation
Country, NGO, and company assignments for the second day’s simulation are managed through our dedicated app.
While we strive to accommodate delegate preferences, Peace Diplomats cannot guarantee the availability of any specific entity and is not responsible if a preferred entity is unavailable.
Delegates may select their preferred entity on a first-come, first-served basis, provided it has not already been chosen and is present in the Peace Diplomats database.
If a delegate’s preferred entity has already been selected, they must choose another available option from the provided list.
Intellectual Property Rights
All copyright, graphics, trademarks, design rights (whether registered or unregistered), and all other intellectual property rights, including the “look and feel” of the website, software, and content on all Peace Diplomats website pages (“Peace Diplomats Content”), are owned by or licensed to Peace Diplomats. Unless explicitly stated otherwise, no one may:
Distribute, modify, transmit, re-post, or use any Peace Diplomats Content for any purpose (except as specifically permitted), including, but not limited to, public or commercial use, without prior written consent from Peace Diplomats.
Display, publish, copy, print, post, or otherwise use Peace Diplomats Content for the benefit of any other website.
Delegates may print one copy of any page from our site for personal reference.
Visa Information for Peace Diplomats Conferences
Most visas are valid for 30 to 90 days from the date of issue.
Confirmed applicants requiring visa support letters should submit their request no more than 100 days and no less than 14 days before the conference start date. Peace Diplomats will issue visa support letters within 14 days of receiving a timely request.
While a visa support letter can significantly strengthen a visa application, it does not guarantee visa approval.
Securing the necessary visa or entry permit is the delegate’s sole responsibility. Peace Diplomats’ refund policy (detailed elsewhere) applies to delegates unable to obtain their visa or entry in time.
Peace Diplomats will provide reasonable assistance to delegates encountering visa-related difficulties. However, we cannot influence the final decision of the issuing embassy or consulate.
Conference Branding and Name Adjustments
Peace Diplomats retains the right to rebrand or rename any conference at any location without prior notification. However, such modifications will be limited to the name and branding only and will not alter the fundamental purpose or core objectives of the conference for which the delegate registered. Delegates are encouraged to consult official Peace Diplomats communications for the most current details regarding any alterations to the conference name or branding.
Payment Procedures
All payments must be conducted exclusively through our official website: www.peacediplomats.org. (Please verify this URL.)
Peace Diplomats does not recognize or assume responsibility for payments made to any individual representing themselves as an ambassador or official of Peace Diplomats.
Payments are accepted via credit/debit card or international wire transfer.
Refund Guidelines
All payments are non-refundable.
Delegates who have paid their registration fee in full may, however, transfer their registration to another conference location or receive a credit voucher for the amount paid, in accordance with the terms and conditions outlined in the “Credit Voucher & Transfer Policy.”
Peace Diplomats Credit Voucher & Transfer Policy
A credit voucher or conference transfer is only available if the following conditions are met:
The participant has paid the conference fee in full.
A written request (email with a signed document) for a credit voucher or transfer is submitted at least 60 days before the first day of the event.
Transfers are only permitted to other conferences organized by Peace Diplomats.
Credit vouchers are only valid for conferences organized by Peace Diplomats.
If only the first installment of the total conference fee has been paid, the transfer or credit voucher policy does not apply, and 100% of the first installment will be retained as a cancellation fee.
For transfer requests submitted less than 60 days before the originally registered event, the following policy applies:
59 to 45 Days Prior: 30% of the paid fee is charged as a cancellation fee. The remaining amount will be issued as a credit voucher.
44 to 30 Days Prior: 50% of the paid fee is charged as a cancellation fee. The remaining amount will be issued as a credit voucher.
29 to 15 Days Prior: 70% of the paid fee is charged as a cancellation fee. The remaining amount will be issued as a credit voucher.
14 to 0 Days Prior: 100% of the paid fee is charged as a cancellation fee, and the delegate will be considered a “no-show.”
Peace Diplomats Code of Conduct
By completing the registration process, registrants certify that all submitted information is truthful and accurate. Falsification of information will result in disqualification from the Peace Diplomats Conference and future Peace Diplomats activities, and may lead to legal action.
Participants agree that all materials created for this conference must be original work. Plagiarism is strictly prohibited. Instances of plagiarism discovered by the Peace Diplomats Secretariat will result in consequences for the individual involved.
Participants are expected to comply with the laws of the host country during the Peace Diplomats Conference. Participants are personally responsible for any charges or damages they incur at conference facilities and social event venues.
Participants acknowledge and assume all risks associated with attending the conference. Peace Diplomats, including its President, Members, Officers, Elected Representatives, and Employees, including the Peace Diplomats Secretariat, are not responsible for the conduct or activities of participants.
Participants agree to adhere to the Code of Conduct published in the Conference Handbook and as determined by the Peace Diplomats Secretariat.
Participants agree to accept any consequences and will be held liable if they, intentionally or unintentionally, use the name of Peace Diplomats in any way that negatively impacts the conference as a whole or any Peace Diplomats delegate.
Peace Diplomats is not responsible for any misconduct or crimes committed by participants. Participants are solely liable for their actions under the laws of the host country.
Governing Law and Jurisdiction
For payments processed in the United States Of America and the United Kingdom, the courts of the USA and UK shall have exclusive jurisdiction over any claim arising from or related to such payments. The laws of the USA and UK shall govern these terms and conditions when payment is processed in the USA and UK.
